Paris has an extraordinary range of event venues, from historic mansions to industrial lofts and rooftops overlooking the city. That choice is also the difficulty: the most beautiful venue is not always the right one for your event. Match the venue to your format

The same room does not hold the same number of guests depending on the layout. A venue for 300 people standing may only seat 180 for dinner, or 250 in theatre style for a conference. Before visiting, write down your real format: seated dinner, walking dinner, plenary, breakout rooms, exhibition area, stage. Then ask each venue for its capacity in that exact layout.

Location and access

  • Transport: metro and train access for local guests, time from your delegates’ hotels, and from Charles de Gaulle and Orly airports for international guests.
  • Coaches and cars: drop-off areas, parking, access for VIP cars.
  • Accessibility: step free access for people with reduced mobility.
  • Load-in: truck access, freight lift, door sizes, which decide what decor and equipment can come in.

Lead times and busy periods

Allow four to six months for most events. Book further ahead for December, for Thursday and Friday evenings in spring and autumn, and for dates that clash with Paris Fashion Week or the largest trade shows, when agencies and brands compete for the same venues.

What drives the cost

  • Day and season: weekdays and summer are often cheaper than Fridays and December.
  • Exclusive caterer and minimum spend: many venues impose their caterer or a minimum spend on food and drinks.
  • Set-up and dismantling time: often charged, sometimes at night.
  • Staff and services: security, cleaning, cloakroom, technicians.
  • Technical equipment: a venue already equipped with sound, lighting and screens costs less to produce than an empty space.

The questions to ask before booking

  1. What is the capacity in our layout, and what is the end time?
  2. Which suppliers are exclusive (catering, technology, security)?
  3. How much set-up and dismantling time is included?
  4. What power supply, rigging points and ceiling height are available?
  5. What are the decor rules: fire rated materials, fixings, candles, confetti?
  6. What are the cancellation terms and the plan B for outdoor spaces?

French rules to keep in mind

Venues open to the public follow French fire safety regulations: decor must use fire rated materials and the number of security staff depends on the number of guests. Noise limits and end times are enforced, especially in residential areas. Music played at an event is subject to rights managed by SACEM, the French music rights society: the venue or the agency usually handles the declaration.
